About The Role
Are you a highly organized, detail-oriented go-getter who thrives in a fast-paced sales environment? GTU is seeking an Executive Assistant & Sales Administrator to support our Owner and the sales team, drive pipeline momentum, and help turn leads into long-term clients.
This in-house role is perfect for someone with strong administrative and sales support skills, a proactive mindset, and the ability to move quickly without sacrificing accuracy. You’ll play a central role in proposal development, lead tracking, and client onboarding, keeping our sales engine running at full speed and helping the CEO stay on track and on time.
You will support the full GTU sales team and report directly to the CEO of GTU.
Key Highlights For This Position
- Be the Right Hand to Sales: Attend lead meetings, take detailed notes, draft proposals, and own follow-up on next steps.
- CEO’s Schedule Management: Manage executive calendar, schedule meetings, appointments, and travel arrangements
- Manage Executive Agendas: Prepare agendas, meeting materials, and take / distribute meeting notes.
- Meeting Management: Draft, proofread, and send communications on behalf of leadership. Coordinate logistics for internal meetings, events, and conferences.
- Maintain Sales Momentum: Manage and update leads in Pipedrive and Monday.com, ensuring no opportunity falls through the cracks.
- Own Proposal Development: Build and finalize client proposals in PandaDoc with accuracy and speed.
Support Client Onboarding: Facilitate smooth handoffs from signed deals into production, issuing onboarding docs and generating job numbers in Timely. - Keep the Pipeline Clean: Maintain accurate lead statuses, schedule meetings, and generate weekly sales reports.
- GTU Brand Strategy: Support GTU brand strategy execution by collaborating with Subject Matter Experts to help plan and produce content across social media, newsletters, blogs, and additional channels
What You’ll Bring
- Sales/Admin Experience: 1–3 years in a sales assistant, coordinator, or sales support role—preferably in a marketing, tech, or creative agency.
- Platform Fluency: Proficient with Google Workspace and experienced with sales and project tools, including Pipedrive, Monday.com, PandaDoc, and Timely (or similar platforms).
- Organizational Mastery: Skilled at juggling multiple priorities, managing timelines, and keeping pipelines accurate and up to date.
- Communication Confidence: Comfortable engaging with clients and internal stakeholders, capturing meeting notes, and presenting information clearly.
- Digital Marketing Familiarity: Some knowledge of marketing lingo (SEO, paid media, websites) is a strong bonus.
- Self-Starter Mentality: You don’t wait to be told what to do—you see what’s needed and get it done.
Deliverables
- Proposal Support: Draft and finalize client proposals in PandaDoc, collaborating with subject matter experts to ensure scope accuracy and fast turnaround.
- Lead Management: Input and maintain leads in Pipedrive and Monday.com, keeping statuses current and pipelines clean.
- Sales Meeting Notes & Actions: Attend lead meetings, document next steps, and ensure timely follow-through on all action items.
- Client Onboarding: Facilitate creation of new jobs in Timely upon sign-off, issue onboarding documentation, and ensure smooth transitions into production.
- Weekly Sales Reporting: Maintain tracking spreadsheets and generate weekly summaries of lead activity, proposal status, and conversion progress.
- GTU Brand Strategy: Support GTU brand strategy execution by collaborating with Subject Matter Experts to help plan and produce content across social media, newsletters, blogs, and additional channels
KPIs
- Proposal Turnaround Time: Time from lead meeting to finalized proposal (goal: within 48 hours)
- Keep the CEO on track: Help the CEO stay focused on the business and help with task management, scheduling, and supporting growth.
- Lead Pipeline Accuracy: % of leads properly entered, updated, and tracked in Pipedrive and Monday.com (goal: 100% accuracy)
- Timely Job Setup: % of new client jobs created in Timely within 24 hours of sign-off (goal: 95%)
- Sales Support Responsiveness: Internal feedback score from CEO/sales lead on communication, accuracy, and timeliness
- Meeting Prep & Attendance: % of scheduled lead meetings attended and prepared for with accurate notes (goal: 100%)
